Frequently asked questions

Are you a licensed tour operator?+

Yes. KLA Agency operates under tour operator licence No. T-2025-12. This means an official contract, protection of travellers' rights under the Tourism Law (Tūrisma likums), and oversight by PTAC.

Do you work directly or through partners?+

Both. We handle some destinations ourselves and others through trusted partners: Fortuna, INDI, ITAKA, Fly Me Away, Interlux and Cruise Lines. With TEZ Tour, booking is made directly with the operator — see the partner page for details. Either way, we support you at every stage of the trip.

What languages do you provide service in?+

Russian, Latvian and English.

What's the difference between the Base, Flex and Executive formats?+

These are three levels of what a trip includes — from basic to all-inclusive.

What is the Explorer format?+

Explorer is a format for members of the KLA Explorer club, and membership is by invitation. When we develop a new route, we invite club members to join the trip at cost price: together with us you explore the destination, logistics and the best spots, and at the end you leave a review and can suggest places that interest you personally — we try to build them into the route. To become a member, you need to receive an invitation and pass the agency's confirmation. The payment scheme is the same as a regular booking (prepayment first — usually the flight, then hotel and transfer); only the price differs — it is the cost price.

What do the Classic, Select and Grand classes mean?+

This is the level of hotels and service on the trip. Classic — basic comfort: a standard hotel with everything you need; on beach destinations usually the 2nd–4th row from the water. Select — a step up: typically 4★ or very good 3★, more comfortable rooms and service, often a gym and a higher standard of dinner service. Grand — light luxury: solid 4★ or 5★, beautiful high-end hotels, often with history and notable guests.

Do you work with corporate trips?+

Yes. We organise business travel: flights to conferences, accommodation of the required level (or within a set budget), restaurant reservations for meetings, and everything a business needs. Essentially, these are the same travel services tailored to business needs.

How far in advance should I get in touch?+

The earlier, the better — that gives a better chance of a good price. Ideally 3–4 months ahead; 2 months is also comfortable. One month is already cutting it close.

How does booking work?+

It all starts with a document check, then step by step:

  1. You submit a request — we get in touch within about 3 business days.
  2. First, we check your passport and visa details — so you don't lose money if something isn't in order.
  3. We put together options and send you a proposal.
  4. Once agreed, we issue an invoice for the prepayment.
  5. After the prepayment, we book: if it's a partner's package tour — through their reservation system; if the route is ours — we handle all bookings ourselves.
  6. A second invoice covers the balance. If the trip is from a partner operator, they set the payment deadline under their own terms; if it's our trip — usually 30 days before departure.
  7. Once everything is paid, you receive your vouchers — about 10 days before departure.
Do you handle visas yourselves?+

We don't process the visas themselves, but we help you gather all the necessary documents — you submit them. If a particular country allows submission on the agency's behalf, we can take that on; such cases are agreed separately. Important: we check passport and visa requirements right at the start, before booking.

Can I change the itinerary after booking?+

Yes, but subject to conditions. For a package tour — according to the operator's rules; for our own route — according to the partners' terms. As a rule, a hotel and transfer are easier to cancel or change, while flights are trickier — here you'll usually need to pay extra for the change. Message your manager and we'll suggest options for your situation.

How are cruises booked?+

Cruises are arranged through KLA Agency, and we then reserve them through the cruise lines' system. The price for you is the same as with the cruise line itself.

How and when is payment made?+

Payment is by invoice only, by bank transfer, in euros, to a Swedbank account. There are usually two invoices: first the prepayment, after which we book and assemble the package, then the balance is paid. The deadline for the balance depends on the type of trip: for a partner tour it is set by the operator, for our trip — usually 30 days before departure. If you prefer, you can skip the prepayment and pay for the whole trip at once. There are no instalment plans.

What currency are payments in?+

Euros (EUR).

What if I want to cancel the trip? Will you refund my money?+

As a rule, the prepayment is non-refundable. But if there is a way to cancel everything and recover the prepayment, we do everything we can to return the maximum to you.

What's included in meals? What do BB, HB, FB, AI mean?+

When booking you choose a meal plan: BB (bed & breakfast) — breakfast only; HB (half board) — breakfast and dinner; FB (full board) — three meals a day; AI (all inclusive) — everything included. Important: in some countries (for example, Spain), drinks on HB/FB/AI may be charged. All inclusive usually covers local drinks, whereas on HB/FB drinks are more often at your own expense. This depends on the country and is agreed on each booking.

Can I travel alone? Is there a surcharge?+

Yes, you can travel alone — this is agreed upfront. If the hotel has single rooms, there's no issue at all. A surcharge only arises where there are no single rooms: in that case a room meant for two is paid for by one person, and the trip costs more.

Are there discounts or special conditions for children?+

It depends on age and destination. Infants aged 0–2 usually fly and stay free — you can simply bring them along; the only thing to keep in mind is the transfer, since carrying a child requires special equipment. For older children it's all individual: some airlines give discounts, some don't, and hotels count children differently — some let children stay free up to age 9, some up to 12, beyond that there's a charge. Exact conditions depend on the destination and the chosen hotel, so we confirm them at booking.

Can I upgrade the hotel or room?+

It depends on the hotel and the terms of the specific trip: some hotels allow upgrades, others don't. We'll check for your case.

Is insurance included in the trip?+

No, insurance is not included in the trip and is purchased separately (EVAK — also separately). Medical insurance is not legally mandatory, but we don't send anyone on our trips without it. If you've taken out insurance, send us a copy — so that, if needed, we know where to turn.

What if something goes wrong during the trip?+

During the trip, support is available 24/7 — by phone, WhatsApp, Telegram or email. The 24/7 mode switches on from the start date of the trip; outside the trip we advise during normal business hours. We also recommend the EVAK insurance card — see the EVAK page for details.

What if a flight is delayed or cancelled during the trip?+

The airline is responsible for the flight itself, but we stay in touch and do everything to soften the situation. If a flight is cancelled, we rebook — the cost in this case falls to the traveller, but you have the right to claim compensation from the airline that cancelled the flight and receive it from them. In some cases this risk can be insured in advance.

Do you only work with clients from Latvia?+

No, we work with clients regardless of country. We accept and process every request; if we can't help for external reasons, we'll tell you honestly.

Do you organise local trips within Latvia?+

Yes, we can — on request.

In what form will I receive documents and vouchers?+

Electronically or on paper — whichever suits you. This is agreed at booking.

How can I leave a review?+

Through the form on the «Contacts» page. If the review concerns a complaint, we respond within 15 business days; if necessary, you have the right to contact PTAC (under the Tourism Law).

How do you handle my data?+

We collect only the necessary minimum and process data with your consent in accordance with GDPR. Details are in the Privacy Policy.
